1. Data controller

2. What data do we process?

We process the information you provide when using our services, including:

• Name, email address and phone number of the contact person
• First and last name of the company's owner or director, who must confirm their identity with our partners (see section 5)
• The email address for our invoices to you and the one for status reports
• CVR number (or VAT number for foreign companies) and, for private persons, name and address
• Invoice data and attachments submitted for processing

When a company registers, we retrieve its name and address from the public Danish CVR register.

3. Purpose of processing

The data is used solely to process and send electronic invoices, to send status reports, and for customer service, billing and administration.

4. Retention period

Emails with submitted invoices and related information are as a rule kept for up to 1 month.

Our record of the invoices we have processed for you (e.g. invoice number, recipient number and date) is kept for 12 months after the month has been invoiced, so we can answer questions about them. It is then deleted automatically.

Your customer details are kept for as long as you are a customer. Our own invoices to you are kept for 5 years, as required by the Danish Bookkeeping Act.

If there is a pending case or a legal requirement, data may be kept longer.

5. Third parties

We use third-party systems for e-invoicing, email, hosting and accounting, including:

• The PEPPOL network and NemHandel for delivering E-invoices
• Sproom and Billit, which send the E-invoices for us. Before the first invoice can be sent, they require the owner or director (or the private person) to confirm their identity with MitID or the itsme app
• Rackhosting for hosting the website, customer system and email
• Saldi for accounting and our invoicing to you
• cvr.dev for look-ups in the public CVR register
• Google Analytics and Google Ads on the website – only if you have accepted cookies (see the cookie policy)

Data is only shared to the extent necessary to deliver our service.

6. Data security

We take appropriate technical and organisational security measures to protect your data.

7. Your rights

You have the right of access, rectification, erasure and restriction of processing of your personal data. You also have the right to data portability, to object to the processing and to withdraw a consent at any time. Contact us at kundeservice@fakturadanmark.dk.

8. Complaints

If you wish to complain about our processing of personal data, you can contact the Danish Data Protection Agency (Datatilsynet).
